Terms and Conditions


Program Brief & Purpose

The Bolton Points Program (“BPP”) is the company’s targeted universal incentives program, allowing employees to be awarded points, which they can use to purchase varying products and services through our local rewards partner, Avail.At (“Vendor”).

Scope and Eligibility

The program applies to Bolton employees who:

  • Are considered regular employees
  • Have no outstanding disciplinary cases (to be checked with Human Resources)
  • Have no outstanding performance issue cases (to be checked with Service Delivery)

Qualified employees are eligible to participate, earn points, and redeem rewards.

Employees will be enrolled on the Employee Rewards platform.

Mechanics

Employees can earn points and redeem rewards through performance goals attainment. The more employees perform, the more points they earn and get bigger rewards.

Awarding of points and redemption of rewards using the points will be subject to HR policies and good standing of the employee.

Program Elements

  • BPP Committee – the BPP committee is the team responsible for overseeing the smooth implementation of the program:
    • Edsel Mendoza, Director, Operations and Branding
    • Mary Lasala, Service Delivery POC
    • Rica Quitoriano, Senior Manager, Finance & Procurement
    • Jefrri-Ann Santiago, Senior Manager, Human Resources
  • Avail.At Purchasing (“AA Purchasing”) – Part of the Vendor’s team, these people will be included in all communication regarding points purchasing, fund transfer confirmation, et al.
  • Avail.At Account Management – As part of their support services, the Vendor will provide a dedicated Account Manager to help with technical issues, customer queries, and, if necessary, redemption follow-ups and questions.
  • Avail.At Manager Accounts (“AA Mgr Accts”) – The Vendor will provide accounts capable of accepting AND distributing points only to the following:
    • All Service Delivery Managers
      • Nadia Tagle
      • Mary Lasala
      • Regent Santos
      • Roselyn Decano
    • Key Org Support Managers
      • Jefrri-Ann Santiago
      • Edsel Mendoza
  • BPP Client Agreement Form - This form will be the main introduction to the incentives program. All clients must have a signed form before we onboard them and provide them points purchasing capabilities. Ideally, this must be included during client onboarding. This is also required by our Vendor for their own documentation purposes.

Processes & Triggers

Purchasing Points

There are two (2) payment methods that can be used to purchase points from Avail.At:

  • Client PO Process
    1. SDM together with Client Team Director/Manager will get client approval of recommended awardees and funding allotment
    2. Once approved, SDM or Client Team Director will calculate point equivalent (using 1:50 ratio after converting USD to PHP via XE.com) and send the updated data to AA Purchasing (cc: bpp@boltonremote.com)
    3. Vendor will then confirm the quote for the requested points. SDM and Client Team Director/Manager can cross-check the amount based on their own calculation. If it checks out, quote can be communicated to the client so they can generate a PO.
    4. Client PO can be then forwarded to AA Purchasing, and should result in an invoice referring to the PO presented.
    5. Client can then pay via bank transfer.
    6. Once funds are confirmed, AA Acct Mgr will notify SDM that points can be allotted based on the initial plan.
  • Pay via Bolton Process
    1. SDM together with Client Team Director/Manager will get client approval of recommended awardees and funding allotment
    2. Once approved, SDM or Client Team Director will calculate point equivalent (using 1:50 ratio after converting USD to PHP via XE.com) and send the updated data to AA Purchasing (cc: bpp@boltonremote.com).
    3. Vendor will then confirm the calculation and send a quotation. SDM should use this quotation to create a Purchase Request Form (PRF) (Bolton to Avail) and request for a Purchase Agreement (PA) via RevOps (Client to Bolton).
      • Note that using this process will involve a 10% service charge on top of the actual points purchase amount to take care of Bolton’s efforts.
    4. Client will sign the PA, and subsequently, Bolton will pay Avail based on its agreed payment terms with AA.
    5. Once funds are confirmed, AA Acct Mgr will notify SDM that points can be allotted based on the initial plan.
    6. Client charges will reflect in the incoming invoice statement from Bolton.

Awarding/Distributing Points

Point allotment will be the responsibility of the Service Delivery Managers assigned to a client’s account. After receiving fund transfer confirmation from the Vendor and/or Bolton Finance team (depending on the chosen payment method), the SDM can proceed with distributing the points according to the PPR Form.

Employees will receive an email notification when they earn points.

Redemption of Points

Rewards can be redeemed online in the Employee Rewards platform. Each item will have required points to be redeemed. If the employee has enough points, then he/she can redeem the item.

Points Expiry

While an employee is actively employed by Bolton, points will not expire. However, if an employee exits the company, they shall have to consume their points as part of their clearance process, otherwise points will be forfeited.

Shipping/Delivery

Rewards are delivered to the specified address in the checkout page. It takes 7 business days for a Metro Manila address and 12 business days for provincial locations.

Receipt Authorization

Rewards may be delivered to someone else (please specify during checkout). Ensure the recipient knows the redeemed item is coming/about to be delivered and is available to receive the reward.

Digital Rewards

Digital rewards will not require a delivery address. These rewards will be sent to the employee’s email address.

Other Notes

  • All online transactions and redemptions are final.
  • Points are not transferable
